How to quote for wedding photography

A wedding quote is not a day rate. You are pricing a non-repeatable day, the editing week that follows it, and the risk of carrying someone's memories. This guide covers how to build a package price you can defend, what belongs on the quote, and where wedding photographers routinely undercharge.

How to price a wedding photography package

Price the whole commitment, not the hours on the day. For most full-day weddings the shoot is roughly a third of the total work; culling, editing, gallery delivery and client emails make up the rest.

  1. 1. Count every hour the wedding actually costs you

A 10-hour wedding typically means 2–3 hours of pre-wedding calls and timeline planning, 10 hours shooting, 1–2 hours backing up and culling, 8–15 hours editing, and an hour of delivery and follow-up. That is a 25–30 hour job, not a 10-hour one. Divide your target income plus overheads by the weddings you can realistically shoot in a year (25–35 is a full season for most solo photographers) to sanity-check your package price.

  2. 2. Build tiered packages, not an hourly rate

Three tiers works best: a shorter ceremony-and-portraits package, a full-day package, and a full-day plus album or second shooter. Couples compare tiers against each other rather than against your competitor, and the middle tier is what most will pick — so make that the one you actually want to shoot.

  3. 3. Price coverage extensions separately

Give an explicit hourly rate for coverage beyond the package (commonly £150–£300 an hour). Weddings run late; if the extension price is already on the quote, the couple can say yes on the day without an awkward negotiation while you are holding a camera.

  4. 4. Cost second shooters and assistants at what you pay them

A second shooter is a real cost — their fee, their travel, and the extra editing their frames create. Bill it as a line item so a couple who does not need one can see exactly what removing it saves.

  5. 5. Add travel, accommodation and kit reality

Anything beyond your normal radius should carry mileage; anything with a 7am start two hours away should carry a night's accommodation. Destination weddings need flights, baggage for kit, and a buffer day. Factor gear depreciation and insurance into your overheads, not into individual quotes.

What to put on a wedding photographer quote

  • How images are delivered (online gallery, USB, print rights)
  • Album, print or wall-art options and page counts
  • Engagement or pre-wedding shoot, if included
  • Overtime rate per extra hour on the day
  • Travel, parking and accommodation costs
  • Booking retainer, balance date and cancellation terms
  • Backup and insurance arrangements

Common quoting mistakes for wedding photographers

  • Quoting a day rate. Couples then feel entitled to negotiate hours, and you lose the editing week you never billed for.
  • Leaving image counts and delivery dates vague, which turns into chasing emails eight weeks after the wedding.
  • Not charging for the pre-wedding work — timeline planning, venue recces and supplier coordination are real hours.
  • Forgetting to price the album properly. A £400 album that takes six hours of design and two rounds of revisions is not a £400 album.
  • No written retainer or cancellation terms, so a postponement costs you a Saturday you can never resell.
  • Sending the quote days later. Couples booking a wedding are comparing three photographers in one evening — the clear, itemised quote that arrives first usually wins.

Pricing FAQs

How much should a wedding photographer charge in the UK?

Most established UK wedding photographers charge £1,600–£3,500 for full-day coverage in 2026, with London, destination and high-demand summer Saturdays above that. Work backwards from your target income: if you want £45,000 and can shoot 28 weddings a year, your average package needs to clear roughly £1,900 after costs.

Should I charge a deposit for a wedding booking?

Yes — a non-refundable booking retainer of 20–30% is standard, with the balance due two to four weeks before the wedding. It compensates you for holding a date you cannot resell and filters out couples who are still shopping around.

How do I quote for a destination wedding?

Quote the coverage package, then itemise flights, baggage for kit, accommodation, ground transport and any buffer days separately. Keeping travel visible and separate makes the price feel honest rather than inflated, and lets the couple cover some elements directly if they prefer.

Do I need to include VAT on a wedding quote?

If you are VAT registered, show the net figure, VAT at 20% and the gross total — couples are private clients and care about the gross number. If you are not registered, say so on the quote so nobody budgets for 20% that never arrives.
